Overview:
Xenia Living LLC is seeking a detail-oriented, guest-focused Virtual Property Manager – Guest Operations & Leasing to lead our day-to-day property and guest support operations. This role is ideal for someone with a strong background in hospitality or property management, who also brings leasing expertise and excellent communication skills.

The ideal candidate will have prior experience in guest services, maintenance coordination, and operational management for short- or mid-term rentals. Leasing experience is still key, but your core focus will be to ensure seamless guest experiences from booking to departure, while supporting the growth of our leasing operations.

Key Responsibilities:

  • Serve as the main point of contact for guests from inquiry to check-out, ensuring exceptional service throughout their stay.
  • Coordinate property operations including maintenance requests, cleaning schedules, and guest issue resolution.
  • Monitor and respond to guest messages across platforms (Airbnb, VRBO, Booking.com, etc.) in a timely and professional manner.
  • Manage reservation calendars, availability, and platform listings.
  • Work closely with the housekeeping and maintenance teams to ensure properties are always guest-ready.
  • Maintain proactive communication with guests before, during, and after their stay to ensure satisfaction and handle any concerns.
  • Support leasing activities by converting qualified leads into bookings and handling inbound leasing inquiries.
  • Assist in drafting and executing lease agreements and coordinating move-ins/move-outs.
  • Build strong relationships with homeowners, providing regular updates on property performance and guest feedback.
  • Create and improve SOPs related to guest communication, maintenance handling, and operational workflows.
  • Lead and mentor a small remote team handling guest communications or leasing tasks.
  • Track and report on key guest and operational metrics (e.g., response times, maintenance resolution rate, guest ratings).

What We’re Looking For:
✅ 3+ years of experience in property management, hospitality, or guest support (U.S. experience strongly preferred)
✅ Experience working in a large property management or hospitality company (e.g., Hello Landing, Blueground, Marriott, Sonder, Greystar)
✅ Proven skills in guest communication, issue resolution, and service recovery
✅ Experience coordinating housekeeping and maintenance teams remotely
✅ Solid understanding of short-term and mid-term rental operations across platforms like Airbnb, VRBO, and Booking.com
✅ Ability to handle leasing tasks including inquiries, lead conversion, and basic lease administration
✅ Strong organizational and time-management skills
✅ Self-starter with excellent written and verbal communication skills
✅ Comfortable working in a fully remote, fast-paced environment
✅ Leadership experience managing small remote teams is a plus
