Job summary:
We are seeking a highly organized, proactive, and motivated virtual assistant with experience in inbox management and cold calling to support our business development and lead generation efforts. The ideal candidate will manage inbound and outbound communications, handle email campaigns, engage with prospects via email and phone, and help set up meetings for the sales team. You will play a crucial role in building relationships with potential clients, scheduling appointments, and keeping our outreach process running smoothly.
Key responsibilities:
Inbox management:
Monitor and manage client inboxes: respond promptly to emails, priorities inquiries, and forward critical messages to the appropriate team members.
Follow up on cold email sequences: manage cold email outreach campaigns by monitoring responses, scheduling follow-ups, and nurturing leads.
Organise and filter inbox: categorize emails, flag important communications, and ensure the inbox is up-to-date and organise for daily use.
Respond to client inquiries: address any questions or requests from prospects and clients with a professional and prompt approach.
Cold calling:
Conduct cold calls: follow up on cold email campaigns with targeted cold calls to engage prospects and set up appointments.
Appointment setting: use Calendly or other scheduling tools to book meetings between leads and the sales team.
Scripted conversations: utilize a provided cold call script to ensure consistent and effective communication with prospects.
Handle objections: address and manage common objections, engaging with prospects to maintain interest in the product or service offering.
Lead qualification: identify qualified leads and pass them along to the appropriate sales personnel for further follow-up.
Lead nurturing and follow-up:
Nurture leads: manage ongoing email and phone follow-ups to nurture cold and warm leads through the sales funnel.
Track and document interactions: maintain up-to-date records of lead interactions and outcomes using CRM systems or spreadsheets.
Utilize drip sequences: implement email drip campaigns for nurturing unresponsive or long-term prospects.
Reporting and updates:
Provide regular reports: track and report on email open rates, response rates, call outcomes, and appointments set.
Collaborate with the sales team: ensure the smooth handoff of qualified leads and assist with any additional tasks related to lead generation and appointment setting.
Key qualifications:
Experience:
Proven experience as a virtual assistant, inbox manager, or cold caller.
Experience in cold email outreach, cold calling, and appointment setting is preferred.
Skills:
Excellent written and verbal communication skills.
Strong organizational skills and attention to detail.
Ability to handle objections and engage with potential clients professionally.
Tools:
Proficient in email marketing tools, CRM systems (like HubSpot, Salesforce, etc.), and scheduling tools like Calendly.
Familiarity with project management tools (e.g., Asana, Trello) is a plus.
Soft skills:
Proactive and self-motivated: ability to work independently with minimal supervision.
Organized and efficient: capable of managing multiple tasks, emails, and calls in a timely manner.
Professional and courteous: polite and professional demeanor when communicating with clients and prospects.
Results-driven: focused on meeting and exceeding outreach and appointment-setting targets.
