Position: Virtual Personal Assistant to the Managing Director

Position Overview
Petigree Global is seeking a highly organized and proactive Virtual Personal Assistant to support our Managing Director. This role is crucial for maintaining efficient day-to-day operations by managing calendars, handling correspondence, and coordinating tasks. You will serve as a key point of contact between the Managing Director, team members, clients, and external stakeholders.
Key Responsibilities
Calendar & Email Management
- Maintain and update the Managing Director’s schedule, set appointments, and coordinate meetings.
- Screen and prioritize emails, responding on behalf of the Managing Director as needed.
Task & To-Do List Management
- Organize and track daily action items for the Managing Director.
- Follow up on pending tasks and ensure deadlines are met.
Administrative Support
- Draft, edit, and file various branch reports and documents.
- Coordinate office requirements such as ordering supplies and uniforms.
- Assist with data entry, record keeping, and other administrative duties as assigned.
Research & Information Gathering
- Conduct research on various topics related to the Managing Director’s projects and business needs.
- Present findings in clear, concise reports or summaries.
Meeting Coordination
- Schedule and coordinate internal and external meetings.
- Prepare agendas, take minutes, and follow up on assigned tasks.
- Arrange virtual meeting access and ensure all technology is functioning properly.
Communication & Liaison
- Handle inquiries, complaints, and feedback; escalate as appropriate.
- Serve as the point of contact for clients, team members, and external stakeholders on behalf of the Managing Director.
- Ensure visitors (virtual or in-person) receive appropriate instructions and assistance.
Confidentiality & Professionalism
- Maintain discretion with sensitive information and uphold strict confidentiality.
- Represent the Managing Director in a professional and courteous manner at all times.
General Office Tasks
- Assist with general branch operations and office tasks as requested by the Managing Director.
- Coordinate errands, arrange travel itineraries, and manage event planning if needed.
Required Skills & Qualifications
- Education & Experience:
- Minimum 2 years of administrative or personal assistant experience.
- Previous remote/virtual assistance experience is a plus.
- Technical Proficiency:
- Strong computer skills, including Microsoft Word, Excel, PowerPoint, and Outlook.
- Comfortable with virtual collaboration tools (e.g., Zoom, Teams, Google Workspace).
- Communication Skills:
- Excellent verbal and written communication skills in English.
- Able to draft clear, concise emails and documents.
- Organizational Skills:
- Exceptional time management, able to handle multiple tasks and changing priorities.
- Keen attention to detail and accuracy.
Interpersonal Skills:
- Customer-focused, able to build relationships with diverse stakeholders.
- Must be assertive, honest, and reliable, with a professional demeanor.
- Adaptability & Initiative:
- Flexible in responding to last-minute changes and urgent requests.
