The Role
As a Property Administrator, you will play a pivotal role in ensuring the smooth operation of our client’s sales, lettings, and property management department. Your role will be multifaceted, involving general administration, diary management, compliance adherence, tenancy renewals, and maintenance co-ordination. This position requires a highly organised, detail-oriented individual with excellent communication skills and a commitment to providing outstanding service to buyers, vendors, landlords, tenants, and internal teams.
Key Responsibilities:
General Administration and Lettings:
- Answer incoming calls swiftly and professionally, respond to enquiries wherever possible or take a message for a colleague if necessary.
- Manage daily administrative tasks including updating daily progress in the system, creating electronic files for new properties and new tenancies. Arranging property compliance and completing administration tasks for t
- Tenants moving in and moving out.
- Co-ordinate viewing appointments and confirm schedules with current tenants.
Diary and Compliance Management:
- Efficiently manage diaries for viewings and other appointments, ensuring there are no clashes, and all confirmations are sent promptly.
- Schedule and book property compliance certifications, such as Gas Safety Checks, EPCs and Electrical Installation Condition Reports. Maintain records in the Alto CRM (Client Relationship Manager) system and ensure compliance data is up to date.
Administration and Tenancy Renewals:
- Preparing paperwork and electronic files for new tenancies and assisting with referencing, Right to Rent Checks and anti-money laundering checks.
- Preparing paperwork for tenants moving out of properties and updating utilities.
- Handle the drafting and distribution of tenancy agreements.
Maintenance and Contractor Liaison:
- Co-ordinate maintenance and contractor appointments, providing timely reminders to all parties involved using Arthur platform.
- Ensure Arthur is updated with ongoing maintenance and landlords are kept updated.
Property Management and New Business Generation:
- Oversee management visits, ensuring smooth operation of inventory systems and compliance additions.
Sales Support:
- Assist with anti-money laundering checks, EPC orders, sales progression administration.
- Assist with preparing property details for new instructions.
What We’re Looking For:
- Proven experience or qualifications in lettings, property management, or a related field.
- Knowledge of property compliance and legal requirements.
- Strong organisational and time management skills.
- Excellent communication and interpersonal abilities.
- Proficient in MS Office and property management software (e.g., Vebra Alto).
- Ability to work independently and as part of a team.

Hardware Requirements:
- Own a computer with Windows Pro 11 and at least an i5 processor. Needs at least 8GB Ram and a computer no older than 3 years old.
- Noise cancelling Headphones.
- Install and maintain antivirus software.
- Have a UPS/Backup Battery/alternative Power Source to manage power outages.
- Fibre internet connection or at least 20mb download and 10mb upload speed.
