Job Title: Strategy and Operations Manager

Location: Remote (UK-based)
Contract Type: Permanent contractor
Working Hours: UK hours: Monday – Friday, 8:00am – 9:00pm (flexible across the week).
Evening availability (6:30 – 9:00pm) usually required 1-2x a week for clinical meetings (usually Mondays and Tuesdays although occasionally there may be ad-hoc other evenings).

About the Role

We are looking for a highly organised, strategic, and hands-on Strategy and Operations Manager to join our leadership team at The ADHD Centre. This is a fully remote, permanent position suited to an individual who thrives in a dynamic and evolving environment.

You will play a pivotal role in shaping our business strategy, ensuring the delivery of high-quality services, and managing daily operations across our remote clinical and administrative teams.

You’ll collaborate closely with the Directors, Clinical Leads, Head of Admin, Sales Manager, and Compliance Officer to align business goals with operational performance, develop scalable systems, and drive service excellence in ADHD care.

Key Responsibilities

1. Strategic Planning & Business Growth

  • Partner with the Business Director and Directors to develop and execute the company’s strategic roadmap.
  • Collaborate with the Sales Manager to analyse service uptake, identify growth opportunities, and improve conversion and retention across patient and corporate services.
  • Support the development of new service lines (e.g., corporate partnerships, coaching, and university outreach).
  • Use data and reporting tools to inform decision-making on pricing, marketing, and resource planning.
  • Prepare business performance summaries, presentations, and reports for leadership meetings.

2. Operational Management & Delivery

  • Oversee daily operations across clinical, admin, and sales departments.
  • Work closely with the Head of Admin and Clinical Leads to ensure high-quality service delivery and efficient patient pathways.
  • Ensure smooth patient pathways and service delivery in coordination with Clinical Leads and Admin teams.
  • Manage and improve operational systems (e.g. Clinical HER (electronic health records), Teamnet, HubSpot, Dialpad).
  • Lead and coordinate operational projects, including workflow automation, data integrations, and new system implementations.
  • Identify and resolve process gaps that affect productivity or client experience.

3. Human Resources & Team Leadership

  • Lead staff recruitment, training, inductions, and appraisals.
  • Work with the Admin Manager and Team Leads to oversee and manage admin staff rota, leave cover, and performance.
  • Support Admin Manager and provide leave cover when required.
  • Maintain and develop HR policies, disciplinary procedures, and compliance documentation.
  • Chair regular admin team meetings and maintain effective communication with the wider team.
  • Ensure all management, risk, and quality improvement meetings are well-organised, efficiently run, accurately minuted, and that records are securely stored in accordance with data protection and governance protocols.
  • Support onboarding, induction, and performance management processes for operational and administrative staff.

4. Compliance & Regulatory Oversight

  • Ensure full legal and regulatory compliance, especially with CQC standards.
  • Maintain and develop systems for ongoing CQC compliance and audit readiness.
  • Manage SUI (Serious Untoward Incidents) reporting and complaints resolution.

5. Process & Performance Improvement

  • Design and implement new SOPs (Standard Operating Procedures).
  • Map and optimise workflows for improved productivity and patient experience.
  • Define and track KPIs across all departments to ensure performance consistency.
  • Support the creation and rollout of new SOPs (Standard Operating Procedures) and ensure they are consistently followed.
  • Identify opportunities to improve team collaboration and data visibility across the organisation.

6. Cross-Functional Collaboration

  • Coordinate operational meetings and project timelines across teams.
  • Facilitate interdepartmental collaboration to drive business goals forward.
  • Serve as a key liaison between the Directors and internal teams.
  • Coordinate weekly or monthly operations meetings and reporting cycles.

7. Financial Oversight & Resource Planning

  • Support budget creation, forecasting, and financial reporting.
  • Work with the Directors and Finance team to review key cost areas and identify efficiency opportunities.
  • Assist in resource planning and workforce allocation to ensure service continuity and scalability.

Person Specification

Essential

  • Degree in Business, Management, IT, or related field.
  • Minimum 5 years’ experience in managing team/s, operations management, business strategy, and project management.
  • Proven success leading cross-functional projects and improving organisational systems and processes.
  • Strong HR knowledge, including recruitment, appraisals, and compliance.
  • Strong analytical, problem-solving, and organisational skills.
  • Excellent communication, problem-solving, and decision-making skills.
  • Excellent communication and stakeholder management skills.
  • Competence in Google WorkspaceHubSpot CRM, and project management tools (e.g. ClickUpAsana, or similar).
  • Ability to work independently and remotely across time zones and teams.

Desirable

  • Experience in private healthcaremental health, or clinical service delivery environments.
  • Knowledge of regulatory complianceGDPR, and data protection requirements.
  • Familiarity with Clinical systemsHR and Voip Telephone systems.
  • Experience managing remote contractor teams.
  • Background in process improvement methodologies (Lean, Six Sigma, or similar).

Job Type: Full-time

Pay: R500,00 per hour

Expected hours: No less than 40 per week
