Role Overview
We’re seeking an exceptional Executive Assistant to the CEO who will serve as a strategic partner and operational backbone. This role goes beyond traditional administrative support—you’ll be the CEO’s right hand, managing complex priorities, anticipating needs, and driving execution across personal and professional domains. You’ll be the guardian of the CEO’s time and energy, ensuring maximum impact and efficiency.

You’ll be entrusted with sensitive information and critical decisions that directly impact our portfolio companies and investment strategy.
Responsibilities
Executive Support & Strategic Partnership
- Serve as the primary gatekeeper and priority manager for the CEO’s time and attention
- Manage complex calendaring across multiple time zones, ensuring optimal scheduling for deal flow, portfolio management, and strategic initiatives
- Prepare comprehensive briefing materials, executive summaries, and decision frameworks for meetings and calls
- Act as a liaison between the CEO and internal teams, portfolio companies, and external stakeholders
Advanced Communication & Relationship Management
- Draft, review, and manage executive correspondence with investors, portfolio companies, and strategic partners
- Screen and prioritize communications, ensuring urgent matters receive immediate attention
- Maintain discretionary relationships with key stakeholders, understanding the nuances of each relationship
- Coordinate and manage sensitive communications requiring the highest level of confidentiality
AI-Powered Operational Excellence
- Leverage cutting-edge AI tools to streamline workflows, automate routine tasks, and enhance decision-making processes
- Implement AI solutions for email management, scheduling optimization, document creation, and data analysis
- Stay current with emerging AI technologies and proactively identify opportunities to increase efficiency
- Train and support other team members in AI tool adoption and best practices
Travel & Logistics Coordination
- Plan and execute complex international travel itineraries, considering deal schedules, time zones, and personal preferences
- Coordinate logistics for investor meetings, due diligence trips, and portfolio company visits
- Manage accommodation, transportation, and meeting arrangements with meticulous attention to detail
- Prepare comprehensive travel briefings including deal context, meeting objectives, and cultural considerations
Project Management & Initiative Leadership
- Lead cross-functional projects that support the CEO’s strategic initiatives and portfolio management activities
- Coordinate due diligence processes, investor communications, and portfolio company board meeting preparations
- Manage special projects including market research, competitive analysis, and strategic planning support
- Ensure follow-through on action items from board meetings, investment committee meetings, and strategic sessions
Personal & Lifestyle Coordination
- Manage personal scheduling and commitments, ensuring work-life integration aligns with family values
- Coordinate personal travel, family events, and important personal milestones
- Handle confidential personal matters with the utmost discretion and professionalism
- Support family-related activities and commitments while maintaining professional boundaries
Results & Key Performance Indicators
- CEO’s calendar optimization results in 25% more time allocated to high-impact activities (deal sourcing, portfolio management, strategic planning)
- 100% accuracy in meeting preparation and briefing materials, with zero missed deadlines or scheduling conflicts
- Implementation of AI-driven processes that reduce administrative overhead by 40% within the first six months
- All travel arrangements executed flawlessly with contingency planning that anticipates and mitigates potential disruptions
- Maintain confidentiality standards that protect sensitive deal information and personal matters
- Positive feedback from portfolio companies and investors regarding communication and coordination efficiency
- Proactive identification and resolution of potential issues before they impact the CEO’s focus or the business
Requirements
Essential Qualifications:
- Exceptional written and verbal communication skills in English, with the ability to interact professionally with high-net-worth individuals and institutional investors
- Advanced proficiency with AI tools including ChatGPT, Claude, Midjourney, automation platforms, and emerging productivity technologies
- Demonstrated experience with complex calendar management, international travel coordination, and multi-stakeholder project management
- High emotional intelligence and the ability to read situations, anticipate needs, and adapt communication style accordingly
- Uncompromising integrity and discretion when handling confidential information
- Strong analytical skills with the ability to synthesize complex information for executive decision-making
Preferred Qualifications:
- Experience in investment banking, private equity, venture capital, or related financial services
- Advanced degree (MBA, CFA, or relevant certification) preferred but not required
- Experience supporting executives in deal-making environments with understanding of due diligence processes
- Multilingual capabilities, particularly in languages relevant to our investment markets
- Experience with CRM systems, deal management platforms, and financial modeling tools
- Background in high-performance, results-driven environments with demonstrated ability to thrive under pressure
