Recruitment Revenue is a lead generation agency that helps recruitment firms book high-quality client meetings through cold outreach. As we continue to scale, we’re looking for a highly organized and proactive Executive Assistant to support our leadership team, manage key operational tasks, and assist with content creation.
Role Overview
As an Executive Assistant, you will work closely with the CEO to streamline operations, manage communication, and contribute to our online presence. In addition to traditional administrative responsibilities, you will play a key role in LinkedIn content writing, SOP documentation, and other business support tasks.
Key Responsibilities
Executive Support & Operations
- Manage and coordinate the CEO’s calendar, meetings, and appointments
- Handle email communication, filtering and responding on behalf of the CEO when needed
- Organize and maintain internal documents, SOPs, and business files
- Assist with project management, tracking progress on key initiatives
- Conduct research and prepare reports or presentations as required
- Handle basic financial tasks, such as:
- Tracking expenses and managing invoices
- Sending and following up on client invoices to ensure timely payment
- Processing payments to contractors or employees
- Preparing and sending contracts for signature via tools like DocuSign
- Liaise with clients, team members, and external partners to ensure smooth communication
- Support recruitment and onboarding efforts for new hires as needed
- Monitor and follow up on action items from meetings to ensure completion
- Coordinate travel arrangements, accommodations, and itineraries for the CEO
- Prepare agendas and take minutes for key internal or client meetings
- Take ownership of a wide variety of delegated tasks — including one-off assignments or new responsibilities that arise — with a proactive, solution-oriented mindset
Content Creation & LinkedIn Management
- Assist with writing and scheduling LinkedIn posts for the CEO to share insights on lead generation and recruitment industry trends
- Research industry-related topics and draft engaging content
- Repurpose and refine written content for different formats (e.g., LinkedIn posts, emails, and internal documents)
- Analyze post performance and recommend optimizations for engagement
- Coordinate with graphic designers or video editors to ensure content is visually appealing (if applicable)
SOP & Process Documentation
- Create and maintain a structured SOP Library for the company’s workflows
- Ensure documentation is clear, up-to-date, and accessible to relevant team members
- Work with the team to refine and improve operational efficiency
- Standardize naming conventions and file organization across company drives
- Identify recurring tasks and build automations or templates where possible
General Admin & Business Enablement
- Perform light CRM management or data entry tasks to keep records current
- Track and renew software subscriptions or business tools
- Conduct vendor or tool research to recommend better solutions for operations
- Monitor and manage company inboxes or Slack channels for non-urgent queries
- Support ad hoc personal tasks for the CEO (e.g., appointment booking, errands if remote/in-person hybrid)
Who You Are
- Highly organized, detail-oriented, and able to manage multiple tasks simultaneously
- Proactive and able to anticipate needs before they arise
- Strong written and verbal communication skills
- Tech-savvy, comfortable with tools like Google Workspace, Click Up, Slack, Close CRM, Calendly
- Skilled in writing clear and engaging content (experience with LinkedIn content is a plus)
- Capable of handling confidential information with discretion
- Problem-solving mindset and ability to work independently
Preferred Qualifications
- Previous experience as an Executive Assistant, Operations Manager, or similar role
- Experience in content writing, social media management, or personal branding is a plus
- Background in lead generation, recruitment, or sales operations is beneficial
