A skincare company. I oversee a team of 15 direct employees who work closely with me, and there’s a broader team in our factory and across various agencies. On a daily basis, I’m managing incoming requests across Slack, WhatsApp, Gmail, and other channels. These requests range from urgent decisions to routine updates that my team needs in order to continue working effectively.I also receive a significant number of administrative tasks—some personal and some business-related—that could easily be handed over to someone else, as well as many unsolicited emails that make it hard to sift through and prioritize what’s important.

Challenges

  • Managing an overwhelming volume of emails and messages from multiple channels.
  • Identifying and prioritizing urgent and important tasks amidst the noise.
  • Handling day-to-day administrative tasks (both personal and professional).
  • Organizing and managing my diary efficiently, especially given the amount I travel.
  • Ensuring clear communication with my team and agencies so they can execute tasks without delays.

  • Organize and manage my inbox, triaging messages and prioritizing urgent ones.
  • Streamline my daily schedule, ensuring meetings and tasks are well-structured and aligned with my priorities.
  • Handle administrative tasks I currently get bogged down with, such as booking travel, organizing documents, and scheduling appointments.
  • Communicate with my team and external contacts to provide updates or clarify instructions when needed.
  • Give me a daily 10-minute catch-up outlining what requires my input (e.g., quick yes/no decisions) and what they’re handling on my behalf.The Ideal Person
