Job Title: Client Onboarding & Relationship Manager – The Well & Co

Role Purpose
You will be the first point of connection between The Well & Co and every new client. From the very first call, your job is to listen deeply, understand their needs, and recommend the most suitable support pathway.
Once services begin, you’ll remain closely involved—helping shape the support team, tracking engagement, and ensuring each client feels confident, safe, and understood.
You will also directly contribute to our WorkWell™ staffing model—helping HR and Operations ensure that every team member assigned to a client is a match in terms of skills, values, personality, and daily rhythms.
Key Outcomes
You will be measured by your ability to:
- Onboard a minimum of 5 new clients into paid support services per month.
- Accurately profile 100% of new clients, including social, emotional, environmental, and practical needs.
- Collaborate on 100% of staff assignment decisions to ensure strong client-staff fit.
- Maintain 100% accuracy in CRM updates (calls, notes, tasks, and pipeline).
- Achieve an average satisfaction rating of 4.5/5 or higher in the first 30 days of each client’s onboarding.
- Demonstrate 100% weekly responsiveness and collaboration with onboarding and staffing teams.
Key Responsibilities
1. Convert Leads into Clients
- Conduct warm, structured consults with prospective clients or their families.
- Clearly explain our care model and available services.
- Own follow-ups, manage questions, and guide decision-making with integrity.
- Secure agreements through clarity and connection, not pressure.
2. Understand Client Needs Deeply
- Uncover deeper preferences, emotional needs, lifestyle rhythms, communication styles, and cultural considerations.
- Develop a full Client Blueprint to support internal matching and planning.
3. Influence Support Team Assignment (WorkWell™ Model)
- Collaborate with HR and rostering to help choose the right people for each client.
- Recommend team members based on lifestyle fit, gender preferences, communication tone, energy, and emotional safety.
- Identify misalignments early and support any needed staff redeployment.
4. Nurture the First 90 Days
- Conduct regular check-ins with clients and/or families during the onboarding period.
- Flag issues early and escalate them to operations leadership.
- Support realignment of services if a client’s situation changes.
5. Operate with CRM Discipline
- Log every call, insight, decision, and pipeline update in real time.
- Maintain visibility to ensure cross-functional coordination and data integrity.
- Submit a concise pipeline performance update every Friday.

Requirements
- Minimum 2 years of experience in client onboarding, consultative sales, community care, or case-based services.
- Experience working with families, vulnerable individuals, or at-risk youth.
- Excellent written and verbal communication skills—empathetic, persuasive, and clear.
- Demonstrated CRM and admin discipline using Google Workspace and digital tools.
- Quiet, reliable remote work environment with a strong internet connection.
Bonus Points For
- Background in psychology, social work, education, private healthcare access, or school admissions.
- Familiarity with structured sales systems (NEPQ, SPIN, Challenger, etc.).
- Understanding of trauma-informed care or disability-related services.
- Knowledge of South African family dynamics in underserved or vulnerable communities.
