Full job description
We are currently seeking a highly organised and diligent Bookkeeper to join our client’s team in the property industry. This is a full-time position for a proactive individual who will support financial operations across various property-related transactions.
As a bookkeeper, you will be responsible for a range of daily, monthly, and ad-hoc financial tasks, ensuring the smooth operation of financial activities in line with best practices and compliance standards. You will work closely with landlords, tenants, contractors, and other team members to provide excellent service and maintain financial accuracy.
Key Responsibilities:
Daily Tasks:
- Banking:
- Receipting incoming funds from various sources (Bank files, direct debit files, AirBnB, etc.).
- Processing Payprop and Metro reconciliations.
- Sending lists of holding deposits, rents, and other relevant updates to the team on Slack.
- Move-In Funds:
- Allocating holding deposit funds to rent when received.
- Changing property status to “Leased” and ensuring proper fees are deducted.
- Updating and managing move-in funds and deposit allocations.
- Account Reconciliation:
- Processing journals for AirBnB/Booking.com funds.
- Ensuring Deposit Disbursements are reconciled and processed accurately.
- Managing outstanding disbursements and verifying invoices for payment.
- Payment Processing:
- Generating payment files and sending owner statements.
- Processing end-of-month payouts and managing special instructions.
- Arrears Chasing:
- Contacting tenants for arrears following the Vault system.
- Updating landlords on tenant arrears status via email or other communication channels.
- Landlord and Tenant Queries:
- Responding to queries on rent, deposits, fees, maintenance, and more.
- Maintaining thorough records of all communication on the Vault system.
Ad-Hoc Tasks:
- Loading contractor invoices, updating banking details, and creating invoices as requested.
- Assisting with Section 8 & 21 notices and liaising with legal teams as required.
- Managing tenant and contractor account reconciliation in Vault.
- Assisting management with adhoc spreadsheets, reconciliations, and reporting.
Monthly Tasks:
- Processing recurring invoices and generating rental invoices for tenants.
- Preparing and emailing monthly property and arrears statements.
- Handling monthly AirBnB and Booking.com reconciliations.
- Generating arrears reporting with detailed insights, graphs, and status updates.
Direct Debits:
- Managing tenant direct debits, including calls to tenants for updates or cancellations.
- Supporting tenants with direct debit queries and assisting the tech team as necessary.
Required Skills and Experience:
- Proven experience as a Bookkeeper or similar role (in the property or finance industry beneficial).
- Strong knowledge of financial systems and processes (within property management advantageous)
- Proficient in Excel and accounting software (Vault, Payprop, Metro, etc. advantageous).
- Excellent attention to detail and organisational skills.
- Strong communication skills for liaising with tenants, landlords, contractors, and team members.
- Ability to work independently, manage multiple tasks, and meet deadlines.
Hardware Requirements:
- Own computer or laptop.
- ADSL/FIBRE internet line with a minimum of 50 Mbps.
- Headphones for use with our VOIP phone system.
- Anti-virus installed.
- UPS/Back-up battery for load shedding.
