Job Summary:

We are seeking a detail-oriented and efficient Administrative Assistant to provide comprehensive administrative and clerical support to our plumbing and maintenance operations. The ideal candidate will be a highly organized individual with excellent communication and interpersonal skills, capable of managing various tasks and ensuring smooth daily operations. The candidate must have business development skills and experience.

This job is earmarked for a female person and can work remotely (from home).

Responsibilities:

  • Answer and direct phone calls, take messages, and handle inquiries professionally and courteously.
  • Manage and maintain office supplies and equipment, ensuring adequate stock levels.
  • Schedule and coordinate appointments, service calls, and meetings with various teams and sub-contractors.
  • Work with Insurance companies
  • Assist in getting new business (Business Development)
  • Maintain and update client databases and records accurately.
  • Process invoices, prepare quotations, and assist with basic bookkeeping tasks.
  • Assist with the preparation of reports and presentations.
  • Manage incoming and outgoing mail, including sorting, distributing, and preparing correspondence.
  • Maintain organized filing systems, both physical and electronic.
  • Assist with dispatching technicians and managing their schedules efficiently.
  • Communicate effectively with clients, technicians, and suppliers.
  • Perform general clerical duties such as photocopying, scanning, and faxing.
  • Assist with other administrative tasks as required to support the smooth running of the business.

Qualifications and Skills:

  • Proven experience as an Administrative Assistant or similar role, preferable in plumbing or maintenance company.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong attention to detail and accuracy.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent written and verbal communication skills.
  • Professional and courteous telephone manner.
  • Ability to work independently and as part of a team.
  • Discretion and confidentiality in handling sensitive information.
  • Experience with scheduling software or CRM systems is an advantage.
  • Basic understanding of the plumbing or maintenance industry is a plus.
  • High school diploma or equivalent; additional qualifications in office administration are an asset.
