About the Role

We are hiring a Remote Admin Coordinator to support a fast-growing creative and ecommerce agency. This role is ideal for highly organized professionals who thrive in a remote work environment, enjoy supporting leadership teams, and can manage multiple administrative and operational tasks efficiently.

As an Administrative Coordinator, you will work closely with the Managing/Creative Director and leadership team, assisting with scheduling, communication, workflow coordination, research, and quality assurance tasks.

This is a full-time remote independent contractor role, open to candidates based in South Africa and Latin America.

Work Schedule: Monday – Friday, 8:00 AM – 5:00 PM EST
Salary Range: $1,000 – $1,500 USD per month (based on experience and skill level)

Key Responsibilities

Executive & Administrative Support

As the Admin Coordinator, you will provide direct administrative support to the Managing/Creative Director and occasionally assist other members of the leadership team.

Responsibilities include:

  • Manage calendars and schedule appointments for leadership.

  • Respond to client inquiries and internal communications.

  • Draft and edit professional emails and written correspondence.

  • Take detailed meeting notes for sales calls, client meetings, presentations, and internal discussions.

  • Track action items and follow up on tasks after meetings.

  • Perform data entry and administrative tasks as needed.

  • Assist the Managing Director with various day-to-day operational needs.

Operations & Workflow Coordination

This role also supports internal systems that keep the company running efficiently.

Responsibilities include:

  • Maintain accurate records of client communications and sales activities.

  • Coordinate tasks and updates through project management tools like Asana.

  • Monitor project workflows and assist with task management.

  • Perform quality assurance (QA) on projects and deliverables.

  • Identify and resolve small operational issues.

  • Support improvements to team workflows and internal processes.

Business, Marketing & Strategic Support

The Admin Coordinator may also assist with light business development and marketing initiatives.

Responsibilities may include:

  • Conduct research for presentations, proposals, and agreements.

  • Assist with RFP responses and pitch presentations during busy periods.

  • Support business development activities and client communication materials.

  • Help refine client-facing presentations and reports.

  • Contribute to marketing initiatives such as:

    • Blog posts

    • Case studies

    • Newsletters

  • Participate in brainstorming sessions for content and strategy.

  • Support exploration of strategic opportunities such as grants, tax credits, or funding initiatives when needed.

Minimum Requirements

Education

  • Bachelor’s degree preferred but not strictly required.

Experience

  • 1–3 years of experience in an administrative, executive assistant, or coordinator role.

Required Skills

The ideal candidate is highly organized, proactive, and comfortable working in a fast-paced remote environment.

Communication Skills

  • Excellent written and verbal English communication skills.

  • Ability to communicate clearly and professionally with clients and team members.

Organizational Skills

  • Exceptional time management and attention to detail.

  • Ability to manage multiple priorities and follow through on tasks consistently.

Problem Solving

  • Skilled at turning complex or unstructured information into clear action plans and summaries.

Technical Skills

Candidates should be comfortable using modern productivity and collaboration tools, including:

  • Google Workspace (Docs, Sheets, Drive)

  • CRM systems

  • Project management tools such as Asana, Slack, and Notion

  • Administrative tools for data entry, documentation, and reporting

Experience using AI productivity tools like ChatGPT to streamline workflows and improve efficiency is a strong advantage.
